Your First Visit

Imaging

Please make sure your images—not just the report—are available for your appointment.

How we access your scans:

  • Most local providers allow us to view images online.
  • When you book, tell our team which provider you used (and the site/date if known) so we can retrieve them before you arrive.
  • If the provider gave you a share link or access code, please forward it to us.

 

If we can’t view them online:

  • Bring the actual images on film or as DICOM files on a USB/CD (ideally with the embedded viewer).

 

If new imaging is required:

  • Dr Sotade may request further imaging before your visit (e.g., weight-bearing X-rays for foot/ankle, alignment views before knee assessment).
  • We’ll send you an imaging request and advise any preparation
  • Check fees with the radiology provider; some studies may attract a gap.

Transcription software

We use AI transcription to streamline documentation and improve accuracy. With your consent, your clinician may make a brief audio recording solely to assist with note-taking. Recordings and transcriptions are handled in line with the Australian Privacy Principles and our Practice Privacy Policy. If you prefer not to be recorded, please tell us—your care will not be affected.

Surgical Fees

Before any operation, you’ll receive an itemised written quote listing the relevant Medicare item numbers (MBS), the surgeon’s fee, and an estimate of any out-of-pocket (“gap”). We’ll discuss this with you and record your Informed Financial Consent (IFC) before you commit.

What your quote covers:

  • Surgeon’s fee (and assistant’s fee where applicable).
  • The MBS item numbers planned for your procedure.
  • The estimated Medicare/private health fund benefit and your expected gap.

 

Separate providers will bill you directly for:

  • Anaesthesia (your anaesthetist will provide their own quote),
  • Assistant (the assistant’s fee if required)
  • Hospital/theatre, implants and prostheses (billed by the hospital),
  • Pathology/imaging (if required).
  • Your fund may apply an excess or co-payment to the hospital account.

 

Medicare, health funds and gaps:

  • Medicare and your private health fund pay scheduled benefits toward medical fees.
  • Most procedures attract a gap. Your quote estimates this based on your fund and item numbers.
  • If intra-operative findings require a different or additional item, we’ll explain the change and any fee impact at the earliest safe opportunity.

 

Payment and claiming:

  • For private/self-funded surgery, payment of the surgeon’s fee is required before the operation.
  • We can submit claims electronically to Medicare/your fund where possible. If any benefit is paid to you directly, we’ll let you know how to remit it to finalise your account.

 

WorkCover / DVA / third-party:

  • WorkCover QLD and approved third-party claims: we bill the insurer once written approval is received.
  • DVA: billed directly in line with DVA arrangements (no out-of-pocket for eligible items).
  • If approval is pending, you may be asked to defer surgery or provide an undertaking for fees until approval is confirmed.

 

Changes, cancellations and validity:

  • Quotes are valid for 30 days and assume the planned procedure and item numbers.

 

Post-operative reviews:

  • Routine surgeon reviews in the immediate post-operative period are generally included in the surgical fee (time-limited). Additional visits, new problems or unrelated conditions may be billed separately.

Assistant surgeon

Most operations require a qualified surgical assistant. Their fee is billed separately after the procedure. We’ll include an estimate of the assistant’s fee in your quote.

Anaesthetist

Anaesthetic services are billed independently and may involve an out-of-pocket cost. We’ll provide the anaesthetist’s (or group’s) contact details so you can obtain an anaesthetic quote specific to your operation.

Hospital fees

Any hospital excess/co-payments and prosthesis costs are set by the hospital and your fund and are not included in our quote. The hospital will advise you directly.

Payment

We accept EFTPOS and Visa/Mastercard. We do not accept American Express or Diners Club.
Surgical fees are payable prior to your operation once you’ve reviewed and signed the Informed Financial Consent.

Other arrangements

If you’re uninsured/self-funded, or if the episode relates to DVA, WorkCover or CTP, please let our team know—different billing arrangements may apply.
